How to Send a PDF: 6 Ways, From Email to Links
How to send a PDF by email, link, WhatsApp, text, cloud drive or transfer service, and how to pick the right way for the size and the person.
Quick answer: for a small PDF to one person, attach it to an email. For anything large, sensitive, or that you may need to fix later, send a link instead. A link also lets you check whether it was opened.
Pick by situation
| Situation | Best way |
|---|---|
| Small file to one person | Email attachment |
| Large file or many recipients | Link from a PDF hosting tool |
| Quick chat with a friend or client | WhatsApp or another messaging app |
| Team already on a shared drive | Drive, Dropbox or OneDrive link |
| One-off huge file | File transfer service |
| Printed material | QR code that opens the PDF |
1. Send it as an email attachment
Attach the file and send. Limits apply: Gmail allows 25 MB on personal accounts and Outlook has its own limits. Details in how to send a PDF by email.
2. Send a link
Upload the PDF once and paste the link in an email, message or document.
- Upload your PDF with the PDF to link tool.
- Copy the link.
- Send it.
Links keep emails small, work on any device, and let you swap the file later. SharePDF also emails you the first time someone else opens an unlisted PDF, and the dashboard shows later views. See share a PDF.
3. Send it on WhatsApp
WhatsApp can send PDFs as documents up to 2 GB. Steps in how to share a PDF on WhatsApp.
4. Send from a cloud drive
Upload to Drive, Dropbox or OneDrive, set sharing to the right people, and send the link. Check the access setting before sending, because Restricted files show a request-access page.
5. Use a file transfer service
Transfer services are for big one-off files. Links usually expire, and the recipient normally downloads a copy. That is fine for delivery, but poor for a document you want to keep updated.
6. Print a QR code
For flyers, menus and posters, put a QR code that opens the PDF. SharePDF generates PNG, SVG and print-ready A4 PDF codes. See QR code menus.
Before you send
- Check the file name.
final_v3_REAL.pdflooks careless. Use something likeAcme-Proposal-Nov-2026.pdf. - Compress or split a PDF if it is huge.
- Decide whether the reader should be able to download it. On SharePDF, downloads are off by default for unlisted PDFs. This is not DRM: text can still be copied and screenshots work.
- Add protection when needed. Password and expiry are on SharePDF paid plans. See protect a PDF.
Know if it was opened
An attachment tells you nothing unless the person replies. Read receipts are patchy (see Gmail and Outlook). A tracked link is more dependable. See how to tell if someone opened your PDF and the wider list in ways to share a PDF online.
A worked example
Dev needs to send a 14 MB proposal to a new client and two of their colleagues.
- He checks the size. At 14 MB it fits under most email limits (see email limits), but he expects edits.
- He uploads the file and copies the unlisted link.
- He sends one email with the link and a two-line summary.
- The client's colleague asks for a changed price on page 3. Dev replaces the file, and everyone who has the link now sees the new version.
- He checks the dashboard, sees views, and follows up the next morning.
With an attachment, Dev would have sent three copies, then a "version 2", and lost track of which was current.
Troubleshooting
| Problem | What to try |
|---|---|
| Email bounced | The file may be over the receiving server's limit. Send a link |
| Recipient cannot open the file | Ask them to try another browser, or send a link, which opens in any browser |
| Link says access denied | The sharing setting is Restricted. Change it, or use an unlisted link |
| File looks different on their phone | Fonts may be missing in a Word file. Convert to PDF first |
| WhatsApp upload fails | Check the connection and storage, or send a link. See WhatsApp |
| You want to hide a draft | Use a password or expiry on a paid plan, or keep it private until ready |
Send a Word or PowerPoint file as a PDF
SharePDF accepts DOCX and PPTX, but not .doc or .ppt, and converts them to PDF using LibreOffice. Fonts may be substituted. PPTX loses animations, transitions and embedded video or audio, and speaker notes are not included. Always open the converted PDF before you send it.
Privacy
A link works for anyone who has it. If you forward it, so does the next person. For sensitive files on SharePDF paid plans, add a password, set an expiry, or turn on the email gate. These are access controls, not DRM. Text can still be selected and screenshots work.
