Gmail Read Receipts: How They Work

Gmail read receipts only work on Google Workspace accounts, not personal gmail.com. How to request one, what it cannot show, and a PDF-level option.

Quick answer: Gmail read receipts work only with work or school (Google Workspace) accounts, and only when an administrator has allowed them. Google says they "don't work with personal Gmail (gmail.com) accounts." If you want to know whether a PDF was opened, a tracked PDF link is more dependable.

What Google says

From Google's Workspace Admin Help page (checked November 2026):

  • Admins can let people in their organization request or return read receipts.
  • Read receipts don't work with personal gmail.com accounts.
  • Gmail delivers read receipts only to individual user accounts, not to groups or mailing lists.
  • Admins can require recipients to approve each receipt before it is sent back.

So even on Workspace, the recipient's side decides whether you get an answer.

How to request a read receipt

This only appears if your admin turned it on.

  1. In Gmail on the web, click Compose.
  2. Write your message and attach the PDF.
  3. Click the three dots (More options) at the bottom of the compose window.
  4. Choose Request read receipt.
  5. Send.

If the option is missing, you are probably on a personal account, or your admin has not enabled it. Ask your admin to check the Gmail user settings in the Admin console.

What a read receipt cannot tell you

You want to know Read receipt
The email was read Maybe
The PDF attachment was opened No
How long they read No
Which pages they read No
It works when sent to personal Gmail No

A receipt says a message was opened at best. Opening the email is different from opening the file.

Better: track the PDF, not the email

Send a link to the PDF instead of an attachment.

  1. Upload the file at the PDF to link tool.
  2. Paste the link in your email.
  3. Check views in the dashboard.

On SharePDF, you get an email the first time someone other than you reads an unlisted PDF in a real browser. Link previews and bots do not count. Every plan shows total views. Paid plans add views over time, countries, devices, time on each page and completion. See track a PDF and the long guide, how to tell if someone opened your PDF.

SharePDF does not tell you who opened the PDF unless you turn on the email gate, which asks the reader for an email address first.

Other things to know

  • Mail apps and privacy settings can hide or block tracking of email opens.
  • Asking for a receipt can feel pushy in some settings. Consider whether a reply request is enough.
  • For attachments and size limits, see how to send a PDF by email. For Microsoft users, see Outlook read receipts.

Worked example

Lena works at a company on Google Workspace and emails a quote to a client.

  1. She composes the email and asks for a read receipt. Her admin has enabled the feature, so the option appears.
  2. The client uses a personal Gmail account. Google's page says read receipts do not work with personal gmail.com accounts, so Lena never gets a receipt, even though the client read the email.
  3. Next time Lena uploads the quote and sends a link. Two hours later she gets the first-open email from SharePDF and sees views in the dashboard.

She now knows the quote was opened, not just the email.

Troubleshooting

Problem Likely cause What to do
No "Request read receipt" option Personal account, or admin has not enabled it Ask your Workspace admin
Receipt never arrived Recipient is on a personal account, or did not approve it Use a tracked link instead
Sent to a group, no receipt Gmail delivers receipts only to individual accounts Send to people directly
Receipt says read, no reply Opening an email is not the same as reading it Follow up politely
Link shows a view you did not expect A person other than the recipient, or you Check the referrer and country on paid plans

Read receipts and privacy

A receipt asks permission in some setups and can feel intrusive. In business emails, many people are fine with it. In sales or recruiting, a plain follow-up after two or three days often works better than a tracking demand. A tracked link records whether a file was opened but, on SharePDF, not who opened it unless you use the email gate. SharePDF also does not know whether an email was opened. It records opens of the PDF.

FAQ

Do read receipts work on personal Gmail?

No. Google says they do not work with personal gmail.com accounts.

Does Gmail tell me when someone opens an attachment?

No. Even a returned read receipt concerns the message, not the file.

Can the recipient refuse?

The admin can require recipients to approve each receipt, so sending one back is not guaranteed.

What is the easiest alternative?

A PDF link with view tracking. It works for any email service, including personal Gmail, because it measures the file open itself.

Can I see when someone opens a PDF attachment in Gmail?

No. Gmail does not report attachment opens.

Are email tracking pixels the same thing?

They are a different method that some tools use. They are often blocked and raise privacy questions, and they still do not tell you about the PDF. A PDF link measures the document directly.
