Share a PDF

How to share a PDF: every way, compared

Attach it, send it in a chat, or share a link. Each way has a size limit, a different experience for the reader, and a different answer to whether you can change the file or see that it was opened.

Short answer

Which way should you use?

Pick by who is reading and what happens after you send it.

Email attachment: fine for one person you already email, when the file is small and will not change.

WhatsApp or another chat app: quick for people in your contacts. They get their own copy of the file.

A link: best when the file is large, when many people need it, when it might change, or when you want to know it was opened. Cloud storage gives you a link to a file. A PDF sharing service like SharePDF gives you a link to a viewer, with download control and view counts.

QR code or embed: for print and for websites. Both work best on top of a link, so you can change the PDF without reprinting the code or editing the page.

Before you send

A quick checklist

A few things that save a follow-up email.

  • Give the file a clear name. It shows in the email, the chat and the browser tab.
  • Check the size. Gmail stops at 25 MB and Outlook at 20 MB by default. Over that, share a link.
  • Open the link yourself in a private window to see what the reader sees.
  • Decide whether the reader should keep a copy. If not, share a view-only link instead of the file.
  • If the file lives in Google Drive, check the General access setting before you send the link.
FAQ

Sharing PDFs: common questions

Short answers for the questions people ask most.

What is the easiest way to share a PDF?

For one person you already email, attach it. For anyone else, or for a file you may need to change, share a link. A link opens in the browser, and you can swap the file behind it later.

How do I share a PDF that is too big to email?

Upload it somewhere and send a link instead. Gmail allows 25 MB on personal accounts and Outlook allows 20 MB by default, so larger files need a link from cloud storage or a PDF sharing service.

Can I share a PDF without the other person downloading it?

Yes, with a view-only link. In SharePDF, unlisted PDFs start with downloads off unless you change your defaults. That stops casual downloads, but screenshots still work, so it is not DRM.

How do I know if someone opened the PDF I shared?

An attachment cannot tell you. A tracked link can. SharePDF shows views on every plan and emails you the first time someone else opens an unlisted PDF. It does not tell you who opened it unless you ask for an email first, which is a paid feature.

Do people need an account to open a shared PDF?

Not with a public link from most services. SharePDF links open in any browser with no account or app. Google Drive links need the General access setting changed to Anyone with the link.
