Outlook Read Receipts: How They Work

Outlook read receipts are optional for the recipient, who can decline to send one. How to request them, where they fail, and a better way to track a PDF.

Quick answer: in Outlook you can request a read receipt, but the recipient can decline to send it. Microsoft says "there is no way to force a recipient to send a read receipt." For a PDF, a tracked link tells you more.

What Microsoft says

From Microsoft's support article on read receipts (checked November 2026):

  • In Outlook, the message recipient can decline to send read receipts.
  • Receipts are not sent when the recipient's email program does not support them.
  • The feature is not available for IMAP or POP accounts such as Gmail, Yahoo! or iCloud.
  • You can't request a read receipt in Outlook.com on the web, but you can for Outlook.com messages sent from Outlook for Windows.

A delivery receipt confirms a message reached the recipient's mailbox. A read receipt confirms the message was opened. Neither shows that an attachment was read.

How to request a read receipt in Outlook for Windows

  1. Create a new message.
  2. Open the Options tab.
  3. Check Request a Read Receipt.
  4. Add the PDF and send.

To request them for every message, go to File, Options, Mail, and under Tracking choose Read receipt confirming the recipient viewed the message. Menu names can vary a little between versions.

Why receipts often do not arrive

Cause Result
Recipient clicks No on the prompt No receipt
Recipient's mail app ignores requests No receipt
Recipient reads in a preview pane or on mobile Often no receipt
Recipient uses an IMAP or POP account Not supported per Microsoft

Track the PDF instead

If you care whether the PDF was opened, send a link.

  1. Upload at the PDF to link tool.
  2. Paste the link into your Outlook email.
  3. Watch the dashboard.

SharePDF emails you the first time someone other than you reads an unlisted PDF, on every plan. Bots and link previews are not counted. Paid plans show time on each page, countries, devices and completion. See track a PDF.

This does not prove who read it. If you need names, turn on the email gate, so the reader enters an email first. Many readers will not bother, so use it only when the content is worth the extra step.

Worked example

Tom emails a contract from Outlook for Windows to a supplier.

  1. He turns on Request a Read Receipt and sends the contract as an attachment.
  2. The supplier's mail program asks whether to send a receipt. They click No. Tom gets nothing, and Microsoft's page says he cannot force it.
  3. A week later Tom switches to a link. He uploads the contract, pastes the link, and sees the first view the same afternoon.

He knows the contract was opened. He does not know who opened it, only that someone did. If he sent it to one person, that is a fair guess.

Troubleshooting

Problem Likely cause What to do
Option missing in Outlook.com Not available there; Microsoft says you can't request one in Outlook.com Use Outlook for Windows, or a tracked link
Working with a Gmail account in Outlook Microsoft says not available for IMAP or POP accounts such as Gmail, Yahoo! or iCloud Use a tracked link
Recipient never gets a prompt Their mail program does not support receipts Follow up, or use a tracked link
Receipt shows delivered only You asked for a delivery receipt A delivery receipt confirms delivery to the mailbox, not that it was read
Receipt says read but no reaction The message may have been opened in a preview Ask for a reply

Delivery receipt or read receipt

Microsoft separates the two. A delivery receipt confirms the message reached the recipient's mailbox. A read receipt confirms it was opened. Neither covers an attachment.

How to be fair to your reader

If you are sending something important, you can tell the reader you will follow up by a given date. That sets expectations without needing a receipt. For a first-open alert on the PDF itself, SharePDF sends one email per PDF, on all plans, and you can turn it off in Settings under PDF defaults.
