QR Code Menu From a PDF: How to Make One
Turn your PDF menu into a QR code for tables, windows and flyers. Steps, why to use an unlisted link, and how to update it later.
Quick answer: upload your menu PDF to a link tool, then generate a QR code that points to that link. Print the code on tables or windows. Use an unlisted link and one you can update, so the printed code never goes out of date.
Steps
- Export your menu as a PDF. Keep text selectable, and keep the file small so it loads on mobile data.
- Upload it to SharePDF. The free plan allows 2 active PDFs up to 5 MB each.
- Set a short custom link slug, such as
your-cafe-menu. - Open the QR code option and download the code as PNG, SVG or a print-ready A4 PDF.
- Test it on two phones.
- Print it. Read menu QR code size and placement first.
See PDF QR code generator and the restaurant menus page.
Use an unlisted link for printed codes
SharePDF has three visibility settings.
| Setting | Who can open it | Use for printed menu? |
|---|---|---|
| Unlisted | Anyone with the link, in the SharePDF viewer | Yes, the default |
| Public | Served as a raw file, browser viewer, download shown | Works, less control |
| Private | Only you | No |
Unlisted is best for a printed code. People who scan can read the menu, and it stays out of search listings. Because the code is printed and can be photographed, treat it as open to anyone who sees it.
Make the menu work on a phone
- Use large type. A page of tiny text is hard to read on a small screen.
- One column beats a busy poster layout.
- Put drinks and food in a logical order, and add a table of contents for long menus.
- Include allergen notes in the PDF, and check local rules for required information.
- Avoid sending customers to a PDF with a huge photo background. Keep the file light.
When prices change
Replace the PDF behind the link. The QR code keeps working. Read update a menu without reprinting the QR code.
Where else to use the menu link
Put the same link on your website, Instagram bio and Google Business Profile. See add a menu to Google Business Profile. Not sure PDF is the right format? Read PDF menu vs website menu.
Limits to know
SharePDF counts QR scans as views, not as a separate scan count, so you cannot split table scans from link clicks. It does not offer ordering or payments. It is a viewer for your PDF menu.
A worked example
Rosa owns a 12-table cafe.
- She exports
menu.pdfat 2 MB and uploads it to SharePDF. - She sets the slug to
rosa-cafe-menu. The link looks likehttps://sharepdf.link/s/rosa-cafe-menu-{id}.pdf, with the id added by SharePDF. - She downloads the QR as an A4 print PDF and prints a proof.
- She scans the proof with her phone and her partner's. Both work.
- She prints 12 table cards, and puts the link on her Google profile and Instagram bio.
Troubleshooting
| Problem | Fix |
|---|---|
| The code will not scan | Increase size, improve contrast, add a margin. See size and placement |
| Menu loads slowly | Reduce the PDF size and image weight |
| Text is tiny | Redesign with larger type and one column |
| The old menu shows | Reload. Confirm you replaced the right file |
| Customers cannot zoom | Check the viewer in a phone browser |
Why not make the code point at a file URL
A code that points to a file on your own site breaks if you rename or move the file. A code that points to a link you can repoint, or a file you can replace, does not. That is why replaceable links suit print.
Choosing visibility
For a printed menu, unlisted works well. If you need a password or expiry, that needs a paid plan and an unlisted or private PDF. A public PDF is served as a raw file and cannot be protected.
FAQ
Do I need a different QR code for each table?
No, one code can serve the whole restaurant. Separate codes only matter if you want to measure tables, which SharePDF does not track.
Will the QR code stop working if I cancel?
Free accounts keep working within plan limits. If you delete the PDF, the link stops working. Keep it active.
Can I make a QR code from DOCX?
Yes. SharePDF converts DOCX and PPTX to PDF, but fonts may be substituted. Check the result.
How do I know the code is correct?
Scan the printed proof with at least two phones before ordering a full print run.
What size should the QR code be?
At least 2 x 2 cm for scanning in the hand, larger for distance.
Can I put the menu QR code on a takeaway box or flyer?
Yes. It is the same link, so one code works everywhere.
