PDF QR Codes for Flyers and Events

Put a QR code on a flyer, poster or event programme that opens a PDF. What to link, where to place it, print sizes, and how to update it after printing.

Quick answer: upload the full document as a PDF, make a QR code for its link, and print the code on the flyer or poster with a short line such as "Scan for the full programme". Use a link you can update, so a change of speaker, room or price does not mean reprinting.

Why a PDF behind a flyer works

A flyer has room for a headline, a date and a picture. The details people need to decide (the full schedule, the price list, the map, the menu, the terms) do not fit. A QR code moves those details to the reader's phone, where there is space for all of them.

What to put behind the code

Printed item PDF behind the code
Event flyer or poster Full schedule, speakers, venue map, tickets
Conference badge or desk Programme with session rooms and times
Concert or theatre Programme notes and cast list
Shop window Price list or brochure
Trade show stand Product catalogue and spec sheets
Workshop handout Slides, worksheets and reading list

Keep one PDF per code. A reader who scans "Programme" should land on the programme, not on a folder of files.

How to make the code

  1. Upload the PDF in the PDF QR code generator, with a free account. Keep it unlisted.
  2. Choose QR Code from the PDF's menu.
  3. Download the SVG or print-ready PDF for your designer or printer. Use PNG only for screens and documents.

Plan for changes before you print

Events change. Speakers drop out, rooms move, prices go up. If the code points at a fixed file, every change means a new file, a new code and a reprint.

With SharePDF the code holds a link, not the file. When the programme changes, replace the PDF and every printed flyer opens the new version. Add a line such as "Updated 12 May" on the first page of the PDF so readers know they have the latest.

Size and placement

Where it is scanned Starting size
Flyer or programme held in the hand 2 x 2 cm minimum, 3 to 4 cm is easier
Poster at arm's length 5 to 8 cm
Poster or banner across a room 10 cm or more

A rough rule of thumb is 1 cm of code for every 10 cm of scanning distance. These are guides from print testing, not a standard, so test a printed proof.

  • Put the code where the eye lands after the headline, not in a corner.
  • Add a short call to action next to it: "Scan for the full programme".
  • Print the short link under the code as a typed backup.
  • Keep a clear margin around the code. Never print it over a photo.
  • Avoid glossy laminate under bright lights, which causes glare.

See whether the code was used

Each scan is a visit to the link, so it shows up as a view. To compare placements, give each one its own PDF link: one for the poster at the entrance, one for the flyers handed out in town. After the event you can see which brought more views. SharePDF's free plan shows total views; paid plans add views over time, countries and devices.

A worked example

Ana runs a weekend food festival. Her flyer has the date, a photo and a QR code labelled "Scan for stalls, times and map".

  1. She uploads a six-page PDF: stall list, opening times and a site map.
  2. She prints 2,000 flyers and 20 posters, each poster with a 10 cm code.
  3. Two days before the festival a stall moves. She edits the PDF and replaces it in SharePDF.
  4. Every flyer already in people's bags now opens the corrected map.

FAQ

Can I put more than one PDF behind a QR code?

A code opens one link. Put everything in one PDF, or make one code per document and label each.

What if the event is cancelled?

Replace the PDF with a short notice, so anyone who scans sees the update instead of old details.

Do people need an app to scan it?

No. The built-in camera on recent iPhones and most Android phones reads QR codes.

Will the code still work next year?

Yes, as long as the link is active. Replace the PDF with next year's programme and reuse the same printed code.

Can I track how many people scanned the flyer?

Scans count as views of the link. There is no separate scan count, but separate links per placement let you compare them.
