DocSend vs Google Drive for Sharing PDFs

Google Drive stores and shares files for free; DocSend tracks how they are read, from $10 a user a month. Where each one fits, compared side by side.

Quick answer: use Google Drive to store files and share them with your team. Use DocSend when you need to know how an outside reader engaged with a document, page by page, and you are willing to pay for it. Drive tells you almost nothing about who opened an uploaded PDF. DocSend starts at $10 per user a month on yearly billing.

What Google Drive does well

Drive is where most people keep files, and everyone you send to already knows it. It handles access well: Viewer, Commenter and Editor roles, sharing with named people or anyone with the link, and an option to stop viewers downloading, printing or copying. For a team working on documents together, it is hard to beat.

Where Drive falls short for sending PDFs

  • No reading data. Drive's activity dashboard shows who viewed Google Docs, Sheets and Slides, and only to editors in the same domain. It does not cover an uploaded PDF opened by a client outside your company.
  • Access friction. A Restricted file shows a request-access screen, and the reader waits for you to approve them.
  • It looks like storage. The PDF opens inside Drive, next to Drive menus.

What DocSend does well

DocSend is built around the moment a document leaves your hands. It records each visit and shows time on each page, so you can see that an investor spent four minutes on the financials and skipped the team slide. Higher plans add data rooms, NDAs, watermarks, email verification and audit logs. It is a deal tool, priced like one.

Where DocSend falls short

  • No free plan. After the 14-day trial you pay.
  • Per-user pricing on Personal and Standard, so costs grow with the team.
  • Not your domain. Branding starts on Standard with a docsend.com subdomain.
  • No editing. You still keep the working file somewhere else, usually Drive.

Which one to use

  • Working on documents with your team: Google Drive.
  • Sending a document outside the company and needing page-by-page data, NDAs or a data room: DocSend.
  • Sending a PDF and only needing to know it was opened, at a low price: a simpler PDF link tool.

Many teams use both: Drive for the working files, and a tracking tool for the final PDF they send.

A third option

We make SharePDF, which sits between the two. You upload the PDF and send a short link that opens in the browser with no account. The free plan emails you the first time someone else opens an unlisted PDF and shows a total view count. Paid plans start at $5 a month and add time on each page, password, expiry, email capture and your own domain. It has no data rooms, NDAs or e-signatures.
